Terms of Service

These Terms govern your use of FlexyInvoice (the “Service”), operated by LATQO (PTY) LTD, trading as FlexyInvoice, a company registered in South Africa (“we”, “us”). By creating an account you agree to these Terms.

1. What FlexyInvoice is

FlexyInvoice is subscription software that helps businesses and freelancers create quotes and invoices, share them with their clients, and track payment status. It includes an AI assistant (“Flexy”) that drafts documents from your instructions. FlexyInvoice is not a payment processor, marketplace, escrow service, or lead-generation service: we never process, hold, or transfer payments between you and your clients, and we charge no commission on your invoices.

2. Your account

You must provide accurate information and keep your sign-in method secure. You are responsible for activity under your account. You must be at least 18 and able to enter contracts.

3. Your content and documents

Your business details, client records, price lists, and the documents you create belong to you. You grant us the limited rights needed to operate the Service (storing your data, rendering your PDFs, sending your content to our AI provider to produce drafts you requested). We claim no ownership of your documents and never advertise other businesses on them.

4. The AI assistant

  • Flexy produces drafts only. No document exists until you review and confirm it.
  • Totals and tax are computed by the Service’s software, not by the AI.
  • You are responsible for reviewing every document for accuracy and for your own tax and legal compliance (rates, registration numbers, invoice requirements in your jurisdiction).
  • Fair-use limits apply to AI usage per your plan.

5. Subscriptions and billing

Paid plans are billed as subscriptions through our merchant of record, Paddle, which handles payment, applicable sales taxes, and billing support. Prices are shown before checkout. Subscriptions renew automatically until cancelled; cancellation takes effect at the end of the paid period. The free trial and free plan limits are described on our pricing page and may be adjusted with notice. Our refund policy is set out separately.

6. Acceptable use

You may not use the Service to create fraudulent or misleading documents, to invoice for illegal goods or services, to infringe others’ rights, to attempt to breach or overload the Service, or to resell it without our agreement. We may suspend accounts that violate these rules.

7. Availability and changes

We work hard to keep the Service available but do not guarantee uninterrupted operation. We may improve or change features over time. If we discontinue the Service, we will give you reasonable notice and the ability to export your data.

8. Disclaimers and liability

The Service is provided “as is”. To the maximum extent permitted by law, we disclaim implied warranties and our total liability for any claim is limited to the amounts you paid us in the 12 months before the claim. Nothing in these Terms limits liability that cannot be limited by law, including under the South African Consumer Protection Act where it applies.

9. Termination

You can close your account at any time. We may terminate or suspend accounts for breach of these Terms. On closure, we will delete or anonymise your data in line with our Privacy Policy, except where we must retain records by law.
